Key Responsibilities:


Administrative Support:

  • Manage the Vice Chairperson’s calendar, schedule appointments, and coordinate meetings.
  • Arrange travel itineraries, accommodations, and logistics for business trips.
  • Prepare and organize documents, presentations, and reports for meetings and presentations.
  • Handle incoming emails, phone calls, and correspondence, responding or redirecting as necessary.

Communication Management:

  • Serve as the primary point of contact for internal and external stakeholders, including clients, partners, and team members.
  • Draft and proofread emails, letters, memos, and other communications on behalf of the Vice Chairperson.
  • Maintain confidentiality and discretion in handling sensitive information and communications.

Meeting Coordination:

  • Prepare agendas, take minutes, and distribute meeting materials for board meetings, executive meetings, and other gatherings.
  • Coordinate logistics for meetings, including room bookings, audiovisual setup, catering arrangements, and attendee confirmations.

Documentation and Record Keeping:

  • Maintain and organize electronic and physical filing systems, ensuring easy retrieval of documents and records.
  • Update and maintain databases, contact lists, and organizational charts.
  • Assist in the preparation and distribution of internal and external communications, newsletters, and announcements.

Educational Qualifications

Bachelor’s degree in Business Administration, Office Management, or related field preferred.

Supporting the Management in their daily operations, administrative tasks, and communications.
